Terms and Conditions for the use of Bournemouth Beach Lodges

Definitions

In this agreement, the following definitions shall apply:

  • Adult means any person aged 16 or over
  • Council means BCP Council
  • We means Bournemouth Beach Lodges
  • You means the person making this booking
  1. Booking

1.1 All bookings are made subject to these terms and conditions. By accepting these terms and conditions you confirm that you, along with any other guests within your booking, are fully aware of the terms and conditions.

1.2 Full payment is required at time of booking.

1.3 Pricing is subject to change at any given time. Quotes regarding pricing and availability either verbally or via email are only valid on the day the quote is given.

1.4 The price of your stay includes overnight use of the lodge for the number of guests indicated:

  • Standard Lodge: Up to 6 people in total (maximum 4 Adults)
  • Accessible Lodge: Up to 5 people in total (maximum 4 Adults)

1.5 If you intend to organise a function at your lodge, e.g. party or birthday celebration, you must seek prior written permission from the Beach Lodges Manager.

1.6 You will be provided with a Beach Lodges User Guide that contains important information about your stay with us. Please ensure that you and your guests familiarise yourselves with this information.

1.7 You must only use the lodge for holiday accommodation purposes. It must not be used for any other purpose, including any business purposes.

1.8 You must not use the lodge, or allow it to be used, for any dangerous, offensive, noisy, illegal or immoral activities. You must not cause nuisance or annoyance to any neighbours or anyone else during your stay. You must not keep or allow to be kept in the lodge any dangerous, offensive items which could be used as a weapon or any illegal substances. If we believe this to be the case your stay will be terminated, and no refund or compensation will be given.

1.9 Smoking (including e-cigarettes) is not permitted inside the lodges, nor on the lodge decks. You will find ashtrays on the terrace below the lodges where smoking and vaping is permitted.

1.10 You and your guests must not use candles, fireworks, or sky lanterns on any part of the Beach Lodges site. Helium balloons must not be released from the Beach Lodges site or any Council land.

1.11 Drones and model aircraft may only be flown in accordance with Civil Aviation Authority guidance. If you would like to use a model aircraft or drone for any filming or commercial purpose, please get in touch with the Council Events team.

1.12 Charcoal or gas barbecues cannot be used on the Beach Lodges site. BBQs can be lit on the beach after 6pm. Fires are not allowed on the beach at any time. We have electric BBQ’s for use between 10am – 9pm. We kindly ask that the BBQ’s are cleaned after use, ready for other guests to use. BBQ tools can be obtained from the Beach Lodges Reception between 9am – 5pm daily.

1.13 No fire pits are permitted on the Beach Lodges site at any time. This includes but is not limited to traditional fire pits, portable fireplaces and any open flame devices.

1.14 Guests are prohibited from bringing personal heating appliances including fans, oil heaters and electric radiators. If you require a heater or fan, please inform a member of staff before or during your stay.

1.15 Unlimited complimentary land train travel for you and your overnight guests is included for the duration of your stay. The land train is dog-friendly and wheelchair accessible. The land train operates subject to weather and season. In the event that the land train is not running, no refunds or compensation will be payable. Children aged 16 and under must be accompanied by an adult. The land train is not operated by the Bournemouth Beach Lodges.

  1. Cancellation

2.1 Should you need to cancel your stay; you will be eligible to receive a full refund up to 14 days before your arrival date stated on your booking confirmation. Any cancellations after this time will only be considered in extenuating circumstances and must be approved by the Beach Lodges Manager. In such circumstances BCP Council reserves the right to charge an admin fee.

2.2 On the rare occasion that we need to cancel your booking, we will endeavour to notify you immediately. You will receive either a full refund for the booking or offered the chance to move your stay to a later date. If you choose a stay in the same price bracket to which you originally paid, we will move your stay at no extra cost. If you choose a stay in a higher price bracket to which you originally paid an additional payment will be required. if you choose a stay in a lower price bracket to which you originally paid, we will refund you the difference back to the card you made the original payment with. Please note moving your stay is subject to our availability. We will not accept liability for any additional costs incurred by you in relation to the booking or its cancellation.

2.3 All refunds will be processed back to the card that was used to make the original booking.

  1. Responsibilities of the Guest

3.1 The maximum number of guests permitted to use the lodges are:

Standard Lodge: Up to 6 people in total (maximum 4 Adults)

Accessible Lodge: Up to 5 people in total (maximum 4 Adults)

This maximum number includes any infants and must not be exceeded. If the maximum number is exceeded, then we reserve the right to terminate your rental without prior notice and without refund or compensation.

3.2 There must be at least one capable and responsible person over the age of 21 in each lodge throughout your stay. You are responsible for the supervision of all members of your party under the age of 21. If there is no-one over the age of 21 staying at the lodge, we reserve the right to terminate your rental without prior notice and without refund or compensation. Children must be accompanied at all times.

3.3 At time of check in, you must confirm the number of guests staying in the lodge and must not exceed;

Standard Lodge: Up to 6 people in total (maximum 4 Adults)

Accessible Lodge: Up to 5 people in total (maximum 4 Adults)

If additional guests do stay and exceed the total capacity, then we reserve the right to terminate your rental without prior notice and without refund or compensation.

3.4 No stag or hen groups are permitted at the lodges. If, on arrival, we suspect your group falls into this category, we reserve the right to terminate your rental without prior notice and without refund or compensation.

3.5 Any damages incurred during your stay will result in an additional fee.

3.6 Any lost or unreturned keys will be charged at £30.00 for replacement cost.

  1. Access, Arrival and Departure

4.1 Vehicle access to Bournemouth Beach Lodges is permitted at the following times:

  • All year 9:00am – 10:00am (Every day)

and

  • 1 April to 30 June 17:00 – 17:30 (Mondays and Fridays ONLY)
  • 1 July to 31 August 17:30 – 18:00 (Mondays and Fridays ONLY)
  • 1 September to 31 October 17:00 – 17:30 (Mondays and Fridays ONLY)
  • 1 November to 31 March 15:30 – 16:00 (Mondays and Fridays ONLY)

Gate access times are not operated by the Bournemouth Beach Lodges. Gate times are subject to change without notice.

4.2 The Beach Lodges team will be on site for check in on Mondays and Friday between 15:00 and 18:00. If your arrival is delayed, you must contact the Beach Lodges team as soon as possible. If you do arrive outside these hours without prior arrangement, you may not be able to access the lodge until the following day.

4.3 If you discover that anything is damaged or missing on arrival at your lodge, please notify us immediately.

4.4 If you are unhappy with the level of hygiene of your lodge on your arrival, please notify us immediately.

4.5 Guests are required to vacate their lodge by 10am on the day of departure. On departure you are required to ensure that the keys are returned to a member of the Beach Lodges team or left in the key safe provided. Non-returned keys will incur a charge.

4.6 If you do not check out by 10am on the day of departure we reserve the right to charge you a late check out fee.

4.7 All rubbish should be removed from the lodge and placed in the external waste bins provided.

4.8 Our staff or contractors may need to access your lodge if there is an unforeseen problem, to investigate a complaint you have made, or to perform certain routine checks. If this happens, we will do our best to let you know in advance of the date and time that we will need access. Your occupation is not exclusive.

4.9 Your stay will not give rise to any tenancy agreement between us.

  1. Linen and towels

5.1 Bed linen, bath towels, hand towels and tea towels (excluding beach towels) are included in the rental of the lodge. If your stay exceeds 7 nights, at your request your linen can be changed during your stay.

5.2 Beach towels are not included, and the linen and towels provided should not be taken out of the lodge.

5.3 Travel cots can be provided if requested at time of booking. We provide a cot mattress, sheet and small blanket for each travel cot booked.

5.4 No towels or laundry should be placed over the decking of your lodge.

  1. Security and Valuables

6.1 Any valuables (inside or outside of your Beach Lodge) are left at your own risk. It is your responsibility to ensure all doors and windows are locked when leaving the lodge unattended at any time. You are responsible for ensuring that the lodge is left secure after every departure.

6.2 Lost property will be retained for 14 days from the day guest’s departure the Lodges. Guests will be contacted via the details on their booking to inform them of their lost property. If items have not been claimed within this 14-day period, they will be disposed of. Items can be returned to guests for the cost of £10 postage. Once items have been posted they are no longer the responsibility of the Bournemouth Beach Lodges.

  1. Pets

7.1 A maximum of 2 dogs will be permitted per stay in our allocated dog-friendly lodges. Dogs are not permitted on the beach directly outside of the lodges from 1st May to 30th September; the nearest dog-friendly beach during this time is at Fisherman’s Walk located a 15-minutes walk east of the Lodges.

7.2 We must be advised at the time of booking of any dogs intending to stay or visit, and a surcharge of £40.00 will be applied to the total booking fee. If you arrive with more than the permitted number of dogs, we reserve the right to terminate your rental without prior notice and without refund or compensation. If you arrive with a dog about which we have not been advised, you will be required to pay the surcharge at the time of check-in, if payment is refused then we reserve the right to terminate your rental without prior notice and without refund or compensation.

7.3 Dogs must not be left unattended at any time. If we believe a dog(s) has been left in a lodge alone, we will contact you immediately to retrieve your dog. If this doesn’t happen immediately, we have the right to enter your lodge without your permission and we reserve the right to terminate your rental without prior notice and without refund or compensation.

7.4 Owners are reminded to be respectful in relation to dog fouling. General waste bins are available throughout the site and along the seafront for disposal of dog waste.

7.5 Please refrain from allowing dogs on beds or furniture.

7.6 Any damage caused by dogs must be paid for.

7.7 Dogs are to be kept on leads when leaving your deck, including on the Bournemouth Beach Lodges terrace area, promenade, Piers, cliff top paths and zig zags.

7.8 No other pets are permitted to stay in the lodges.

  1. Parking

8.1 One car parking permit per lodge will be provided free of charge for Boscombe Undercliff Car Park. Please note this excludes Bournemouth Air Festival and other major events that may take place along the seafront. The Undercliff Car Park is not operated by the Bournemouth Beach Lodges.

8.2 Free parking can be located on Boscombe Overcliff Drive (BH5 1JB). We will not accept any liability for damage or theft from your vehicle during your stay at either parking options.

  1. Termination

9.1 We may ask you and/or any member for your party to leave immediately if your conduct results in Police attendance or is considered by us to be inappropriate, likely to cause harm or impair the enjoyment, comfort or safety of anyone, or is likely to, in our belief, cause a breach of this agreement. No refunds or compensation will be given in these circumstances and we reserve the right not to accept further bookings from you or any member of your party.

  1. Privacy statement

10.1 Bournemouth Beach Lodges (owned and operated by BCP Council) is committed to respecting your privacy. We have structured our website so that, in general, you can visit the Bournemouth Beach Lodges website without identifying yourself or revealing any personal information. Once you choose to provide us with any information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement. 10.2 We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and organisational controls to safeguard the information we collect online.

  1. Guest Feedback

11.1 In the unlikely event that you have an issue during your stay, we advise you to bring it to the attention of the Beach Lodges Manager at the time. This enables us the opportunity to rectify the problem during your stay.

11.2 Any reported matter which has not been resolved during your break should be advised in writing to Beach Lodges Manager, Bournemouth Seafront Office, Undercliff Drive, Bournemouth, BH2 5AA within 28 days of the day of departure. We will only correspond with the person making this booking.

11.3 We will not enter into further correspondence on any matter resolved during your break and accepted as such by you.

  1. Seafront Operations

12.1 The Bournemouth Beach Lodges are located next to a public beach.

12.2 Work carried out along the seafront by BCP Council contractors or external contractors can be carried out at any given time, 7 days a weeks, 365 days per year.

12.3 BCP Council staff have the right to drive down the promenade at any given time, 7 days a week, 365 days per year in order to carry out duties, such as tractors, refuse trucks, rangers, catering team, Beach Lodges Team and cleansing team.

  1. Governing Law

12.1 This agreement and any dispute between us will be governed by and construed in accordance with the laws of England and Wales. You agree to submit to the exclusive jurisdiction of the Courts of England and Wales over any matter arising out of our agreement or your visit.
